Privacy Policy

Policy version: 2026-10-21 · Last revised: October 21, 2026

Samxon Global LLC ("Samxon," "we," "us") operates OIKEXA, a church management software platform. This Privacy Policy explains the categories of information OIKEXA processes, why it is used, and how to contact us about privacy requests. It covers the OIKEXA public website and OIKEXA software and cloud services, as applicable to the features you use.

1. Information OIKEXA processes

Church and account information: church name, contact information, account identifiers, login-related information, assigned roles, membership links, and administrative settings.

Church-managed records: information a church or its authorized users enter about members, visitors, ministries and households. This can include names, contact details, family relationships, children's records, attendance, ministry assignments, service participation, events, visitor form submissions and notes. Because OIKEXA serves churches, some records may reveal religious involvement or other sensitive personal information.

Legal acceptance records: when an authorized church representative expressly agrees to our Terms, OIKEXA may record their authenticated account ID, associated church ID, versions of the Terms and Privacy Policy accepted, the affirmative acceptance method, and the date and time recorded by our server. These records help document agreements, respond to disputes and comply with applicable legal obligations. We do not require a personal IP address in the basic acceptance record.

Billing information: subscription plan, renewal period, billing status and payment/customer reference identifiers received from our payment provider. Stripe handles payment-card processing; we do not ask you to type card details into the OIKEXA public website.

Support and technical information: information sent to support, security and activity records, and the technical information needed to deliver websites, authentication and cloud services. Available mobile features may use device location for an arrival/check-in prompt only after the operating system grants location permission; the applicable feature and permissions depend on the mobile version in use.

2. Why this information is used

We process information to authenticate users; provide church-management features; apply church and staff permissions; connect members to their church records; manage attendance and visitor follow-up; send requested service communications; maintain subscription status; respond to support inquiries; investigate abuse; and operate, maintain and secure the service. Authorized churches determine which member and visitor records to enter and how to use OIKEXA for their ministry operations.

3. The church's role and permissions

For church-managed member, family and visitor information, the participating church generally decides what information to collect and which authorized people can access or manage it. Samxon provides the software and supporting services. This division of responsibilities can differ depending on the information and applicable law. A church must provide appropriate notices and obtain any permissions or other legal authorization needed for its records and communications.

OIKEXA is designed to separate each church's data and restrict staff access according to church-assigned roles. An OIKEXA sign-in does not by itself give someone administrative access to a church's records.

4. Visitors and QR-code submissions

When someone submits information through a church's OIKEXA visitor QR form, the information is used to create a visitor record associated with that church and to support the church's welcome and follow-up process. Visitors should submit only information they wish to share with the receiving church. The church may contact visitors using the details provided, subject to applicable law and the permissions governing its communications.

5. Children and household records

OIKEXA supports family and child records managed by a parent, guardian, or other authorized church user. Children's information warrants particular care. Churches and parents or guardians are responsible for ensuring they have the appropriate authority to submit it. OIKEXA's public website is not designed as a service for children to independently register or purchase subscriptions. Please contact the church responsible for a child record about corrections or removal in the first instance.

6. Location-based check-in

Where supported in an OIKEXA mobile app, location permissions may be requested to recognize arrival near a church location and offer a check-in prompt. The church's configured location, device permissions and the particular app version govern this feature. Users can control location permissions through their device settings. Denying location permission may disable location-based prompts without necessarily preventing manual attendance processes.

7. Providers and disclosures

To deliver the service, OIKEXA uses or may use technology providers including Google Cloud and Firebase for hosting, authentication and data services; Stripe for subscription payments; Resend for operational email; and Cloudflare for domain, website security or email routing services. Providers may process relevant information to deliver their contracted services. Information may also be disclosed where required by law, to protect users and our services, or as part of a legitimate business transfer with appropriate safeguards. Churches and their authorized personnel can access church records according to their permissions.

8. Data security

We employ administrative and technical controls appropriate to the service, including access restrictions, authenticated operations and encrypted network connections. We also rely on security controls supplied by our infrastructure providers. No method of storage or transmission can be guaranteed completely secure. Church administrators should carefully manage access rights and report suspected unauthorized access.

9. Retention, exports and deletion

Retention depends on the type of information, the status of the church account, operational and security needs, and applicable legal obligations. Church-managed records may remain while the church uses OIKEXA. Canceling a paid subscription does not by itself mean every church record is immediately deleted. Records may need to be retained for legal compliance, financial records, fraud prevention, security investigations or backup recovery.

Authorized church administrators may request available access, export or account-deletion options through the service or by contacting support. Requests are reviewed based on authority, available functionality and legal obligations. We do not promise a single deletion deadline for every category of record; any specific account-deletion schedule should be communicated separately when it has been confirmed for the applicable service.

10. Individual privacy requests

If a church created or maintains your member, child or visitor record, contact that church first to ask for access, correction or deletion. We can assist the church with appropriate requests where possible. For information Samxon controls directly, you may email support@oikexa.com. We may need to verify identity and authority before responding. Privacy rights and response requirements depend on the law that applies to your request.

11. Website technology and third-party services

Our website and service providers may process routine technical information, such as request metadata needed to provide and protect the site. Authentication and other service functions may use necessary browser or device storage. Where we add optional analytics or marketing technologies, related disclosures and any legally required choices should be provided before those technologies are enabled.

12. Policy updates and contact

We may revise this policy as the platform or applicable requirements change. The current text and revision date will be available on this page. For questions or privacy requests, contact support@oikexa.com.
